What Should a Grassroots Coach Record After Training and Matches?

Record only information that will support a later football decision: who attended or played, the match result and useful events, what the group worked on, and a small number of specific football observations. Leave medical, injury, welfare, safeguarding, disability, behavioural and emergency information in the club’s approved systems and processes.

Start with the decision the record will support

A record is useful when it helps with a real next decision: adapting a practice, planning meaningful playing time, recognising progress or following up a football target. If you cannot explain how a detail will help, do not collect it by default.

Short, consistent notes are usually more usable than a long match report written from memory days later. Record the facts first, then distinguish your football observation from your interpretation.

After training: keep a five-minute record

  • Who attended the football session.
  • The theme and practices actually delivered.
  • One thing that engaged or challenged the group.
  • One adaptation that worked or should change next time.
  • One or two football-only observations that affect the next plan.
  • Whether the session is complete and ready to review later.

After a match: separate facts from learning

Keep observations specific and football-only

Describe what you saw in football terms and avoid labels about a child. “Moved into space before receiving” is more useful than “clever player.” “Needs another chance to practise receiving under pressure” is more actionable than “lacks confidence.”

Do not store medical or injury detail, safeguarding or welfare concerns, disability information, behavioural records, allegations or emergency-contact information in a coaching note. Use the club’s approved route for information outside football development and administration.

Do not turn a volunteer coach into a data team

  • Choose a small number of events that the team will actually review.
  • Observe a few players or one theme rather than pretending to see everything.
  • Do not create rankings from incomplete or inconsistent observations.
  • Use numbers as context, not proof of a child’s ability or future.
  • Review whether old notes are still needed and follow the applicable retention process.

Printable five-minute football review

  • Attendance or match participation recorded.
  • Session theme or fixture facts confirmed.
  • Result and selected key events recorded accurately.
  • One group football observation written.
  • No more than a few specific player observations added.
  • Facts separated from interpretation.
  • No medical, welfare, safeguarding or behavioural detail entered.
  • One next coaching action chosen.
  • Record saved in the correct team and season.
  • Review completed while the football detail is still fresh.
