1. Build understanding before asking for commitment
Buy-in is not asking parents to agree with every decision. It is giving families a clear picture of the football experience, weekly routine, communication route and boundaries so they can decide whether and how to support it.
The FA encourages parents to understand who coaches their child, how communication works, what behaviour is expected and how feedback or concerns can be raised. A short pre-season conversation or welcome pack can make those basics visible.
2. Cover the questions families actually have
| Topic | Explain | Avoid |
|---|---|---|
| Purpose | The age-appropriate football experience the team is trying to provide. | Promising results or player outcomes. |
| Attendance | When replies are needed and how absence affects planning. | Shaming a child or family for an absence. |
| Playing time | The team principle and how exceptions will be handled. | Guaranteeing exact minutes without checking rules. |
| Communication | The approved channel, response expectations and urgent club route. | Using the app for safeguarding or emergency reporting. |
| Touchline | Positive support, respect for officials and no conflicting sideline coaching. | Turning a parent briefing into a threat. |
| Questions | When and how coaching decisions can be discussed calmly. | Debating selection immediately after a match. |
3. Make the weekly attendance routine predictable
- Publish the training or match details through the approved channel with enough notice.
- Ask one clear availability question and give a realistic reply deadline.
- Send a reminder only to families who have not replied where the product and club process allow it.
- Plan from confirmed responses and keep unknown availability visible.
- Follow up repeated uncertainty privately and respectfully through the club’s normal route.
- Review the football-planning impact, not private reasons the app does not need to hold.
4. Keep attendance records useful and proportionate
A coach may need to know whether a player is available, attending or absent so a session or match can be planned. The reason may be private and unnecessary for the football record. Do not invite medical, disability, welfare, safeguarding, behavioural or emergency-contact details into attendance notes.

How Grassroots Coach can help
Session attendance, match availability and Player & Family responses can help the coach see who is confirmed, absent or still to reply while preparing the football plan. Availability reminders and event information can support a consistent routine where enabled. The app cannot create parent trust, guarantee attendance or replace the club’s communication and safeguarding responsibilities.
